Dayspring Emmaus Community

Emergency Plan

 

In the rare event that a major emergency would happen during an Emmaus Walk, the Emmaus Board of Directors will implement this plan to help with notifying sponsors and clergy that would need to be contacted in relation to the current walk. All board members will have a list of the pilgrims on the walk and their sponsors’ contact information, and are asked to keep this with them at all times during the walk weekend. (Sponsors would be responsible for contacting pilgrims’ families.)

An emergency could include any type of natural disaster (such as the Hurricane winds of Hurricane Ike in the fall of 2008). A disaster could also include a fire or medical emergency.

The Lay Director and Board Representative on the walk would work together to contact the Board President. The Board President would in turn contact the Executive Board (the President Elect, the Secretary, the Financial Officer, and the Community Spiritual Director) to start the phone tree to notify everyone of the situation and any action that needs to be taken.

  • The President Elect would contact the Information Technologies Officer, the Kitchen Officer, the Gatherings Officer, and the Community Training Officer.
  • The Secretary would contact the Prayer and Server Charts Officer, the Newsletter Officer, and Agape Officer.
  • The Finance Officer would contact the Trailers & Supplies Officer, the Manuals Officer and the Facilities & Transportation Officer.
  • The Spiritual Director would contact the Clergy Liaison Officer, and the two of them would notify all clergy who have pilgrims involved with the walk.

In the event that any board member cannot be reached, the person trying to contact them will need to call the persons that the board member is responsible for contacting.

After each board member has been contacted, they would then contact the sponsors of the pilgrims they are assigned to inform them of any information that sponsors and families would need to know. As new and updated information comes in, these sponsors may need to be contacted multiple times to keep them informed. (If for some reason the sponsor cannot be reached, the board member is responsible to continue calling until contact has been made.)

Information Technologies: Send email updates and post/update information on website and facebook
Kitchen: Will call Sponsors of Pilgrims with last name beginning with A, B, and C
Gatherings: Pilgrims with last name beginning with D, E, and F
Community Training: Pilgrims with last name beginning with G, H, and I
Prayer & Server Charts: Pilgrims with last name beginning with J, K, and L
Newsletter: Pilgrims with last name beginning with M and N
Agape Acts: Pilgrims with last name beginning with O, P, and Q
Trailers & Supplies: Pilgrims with last name beginning with R and S
Manuals: Pilgrims with last name beginning with T, U, and V
Facilities & Transportation: Pilgrims with last name beginning with W, X, Y, and Z

 

The President will continue to be in contact with the Lay Director and Board Representative on the walk until the emergency is over and will keep the executive committee up to date on any information that needs to be passed on.
